Our client, a Property Management firm conveniently located in the Bronx, is in need of a top-notch Tenant Services Coordinator. In this role, you will act as the property liaison and point person, therefore, you will be expected to understand the responsibilities of the property, coordinate all remedial efforts and ensure everyone is informed of all improvements, maintenance, inspections, etc. In addition, you will provide administrative support to include file maintenance, report compilation, database input and management, meeting scheduling, mail, word processing and communications, phone coverage, and various administrative duties as assigned. Previous commercial real estate experience is preferred. Hours: 8am-5pm; Salary: $50-60K DOE

Primary Responsibilities –

• Answers phone calls from Tenants, informs the Property Manager about the issues, and dispatches vendors with the property manager’s guidance.
• Understands the limits of landlord’s responsibility for each property so that Tenant calls can be screened before Property Manager involvement.
• Maintains log concerning Tenant complaints.
• Informs Property Managers or other building personnel about work to be done.
• Assists with monitoring the completion of all Tenant service requests.
• Makes the necessary calls to Tenants to advise them about upcoming events such as paving of parking lots, capital improvements, maintenance, property inspections, etc.
• Organizes and files all equipment annual/semi-annual documents.
• Creates and distributes the weekend work schedule.
• Assures that the shuttle bus staffing is covered.
• Assists with obtaining Estoppel Certificates and other documents from Tenants when requested by the Legal Department.
• Responsible for Tenant and Vendor insurance:
 Requests and reviews insurance certificates appropriate coverage.
 Keeps Excel spreadsheets to document compliance.
 Sends letters, acquires signed Terms and Conditions and performs other tasks to assure Tenant and vendor insurance is kept up-to-date.
 Updates vendor insurance dates in Yardi.
 Coordinates HUB review of insurance certificate and insurance company.
• Sets up and maintains files in proper order.
• Updates Property Management Manuals
• Scans documents into Smart Cabinet.
• Prepares FedEx packages and Certified Letters.
• Schedules meetings for Property Managers.
 Collects and compiles payroll timesheets
 Maintains employee attendance records and approvals for vacation and personal days.
 Manages processes related to employee uniforms and outdoor apparel.
 Assists with the renting process for storage units including Leasing Agreements.
 Captures and tallies HMC Tenant Employee Photo I.D. Cards.
 Provides vacation and lunch-break relief for the receptionist.
 Maintains the Purchase Order Excel file and paper files.
 Carries out other duties as directed by management.
