DESCRIPTION

We are currently looking for an Office Administrator for our client, a high-end architectural firm located in Greenwich, CT. We are looking for someone who is exceptionally organized with strict attention to detail. This position involves heavy and sometimes chaotic calendar management for the office as well as the Principal. This is a long-term temporary assignment; Hours: 8:30am-5:30pm; Pay Rate: $20/hr; email resume to jobs@concordepersonnel.com
Responsibilities:
Personal administrative duties for the President
Diary management, travel itineraries, scheduling and event coordination for the office (for meetings and business trips for project architects as well as all-office trips and events)
Administer setup for new projects/new employees (timesheet setup, hard copy file setup, etc.)
Deal with queries via phone, email, walk-ins, and general correspondence
Set up systems and procedures as required for internal office organization
Manage inventory and procurement of all office supplies, equipment and furniture
Manage marketing administration (send press releases, coordination administration for advertising, publication submissions, schedule photography shoots, etc.)
Manage HR paperwork for employees (employee agreements, insurance/benefits, etc.)
Manage all filing systems (employee files, client/project files, accounts payable files, etc.)
Manage interface with IT consultants, hardware and software licensing, phone system, etc.

Required Skills:
High degree of organization
Strong verbal and written communication skills
Strong office administration knowledge
Ability to produce business correspondence, proofread for grammar, spelling and punctuation with a high degree of accuracy
A self-starter who takes initiative to identify and complete tasks
Effective leadership and management skills in facilitating between the office and its clients and consultants

Software Experience:
Microsoft Office and Excel
Experience with Macs is a plus
General aptitude to learn new software with in-house training and assistance (e.g. we use ArchiOffice for timesheets and billing)
